About Our Center

The Kansas City Center for Anxiety Treatment, P.A. (KCCAT) opened in 2005 as the region's first center dedicated solely to offering expert, team-based treatment, research, and training for anxiety and related disorders. Specializing in OCD, anxiety, mood, and stress-related challenges for all ages using evidence-based treatments, our team structure offers a wide range of service levels, including traditional outpatient therapy, individualized intensive outpatient treatment, and a growing repertoire of treatment groups and workshops.

Core Responsibilities & Values

The Clinic Operations Assistant serves as a key member of KCCAT's customer service, outreach, and operations team. The ideal candidate is a highly organized self-starter who is capable of taking initiative and carrying out tasks in an efficient, professional, and consistent manner.

Primary responsibilities include processing new patient referrals, working in tandem with KCCAT's Director team to identify and carry out follow-up tasks. They will also be responsible for general inquiries from prospective patients and referring providers, serving as a primary initial contact to learn more about our center.

This position also assists the clinical staff in scheduling of assessment appointments, serves as a liaison to new patients in advance of their first appointment, and coordinates communication between the KCCAT team and outside providers to ensure collaboration with all members of a patient's care team.

The role also works directly with KCCAT's Director of Operations to support day-to-day business needs, including communicating regarding billing and account balances, office organization and upkeep, records management, and assisting in operations policy development and roll out.

Qualifications & Competencies

  • Required
    • Competency with modern technologies, such as email, work chat (e.g., Slack or Teams), mobile devices, web-based applications
    • Competency with using spreadsheets and similar programs for tracking and organizing data
    • Comfortable handling sensitive/confidential information (e.g., patient protected health information, billing information, business operations materials)
    • Strong customer services skills, ability to interact with prospective and current patients in a friendly and composed manner
    • Organized, capable of managing multiple tasks and completing them in a timely manner
    • Associates degree or substantial relevant work experience
    • Minimum of one year experience in a healthcare setting (especially mental healthcare) or working in an "executive assistant" or similar role; specific training to our setting will be provided, but a foundation in healthcare or business operations is ideal for getting "up to speed"
  • Desired
    • An interest in gaining experience in business operations and/or mental healthcare

Hours Expectations & Location

The Clinic Operations Assistant is part time position, designed for 18-23 hours per week at the low-to-mid range. Additional hours may be available depending on current operational needs or projects but are coordinated in advance with flexibility on when those duties need to be carried out.

This role can be performed entirely in-office or as a hybrid (office and remote); we require at least two partial days per week be in-office. Although some tasks are best suited for during general business hours Monday through Friday, work hours have a large amount of flexibility.

Pay Range

Starts at $16/hour; with formal review after first the 6 and 12 months, annually thereafter.
